Plan Your Time – Get More Done

I have learned that not all time is the same quality. We can all remember times when we accomplished five times as much in half the time. Our goal is to create more of those quality hours.

One way to increase the quality of the time is to recharge yourself. This requires self knowledge. Knowing those things that give you strength and energy. Like the woodcutter taking the time to sharpen the saw.

Often, it is the time taken to recharge that has the greatest return.

The exercise today is to figure out what things sharpen the saw and plan to put those into your days. Then allow the wood cutting to take the other time as opposed to the other way around. I call this Reverse Planning. Rather than planning what I have on my task list and trying to get that done, I plan my down time and deliberately work to guard that time.

I am highly driven so know that this works for driven people. By planning it this way, the “guilt factor” is also minimized. I know I am doing it to be more effective.

Some ways to sharpen the saw for me include:

2 – Adequate rest. OK – real sleep is needed to perform well. And knowing this allows me to schedule it without guilt (OK perhaps still a little)

2 – Exercise. I become resentful when I push so hard that I do not have time to work out. I will schedule one hour workouts 5 days per week and 2-3 hours once per week.

3 – Walking. Especially at the end of the day is a great habit. Even a mile is great.

4 – Clutter weighs on my mind so keeping things clutter free is a great way for me to reduce stress.

5 – Spending time with friends can be a great way to recharge.

6 – Challenging my intellect is a great way for me to recharge. I find the focus required for a good game of chess or bridge is a great break.

7 – Reading just for the sake of reading is a great way to recharge.

My list is not yet complete. I am still working on it. My challenge now is to stick to my reverse time plan and not allow myself to get caught up by the usual daily volume.

You may notice, within the first week or so of starting college, that managing your time is already one of the biggest challenges you have. You are going to have much to do and can probably already see that your college life and your productivity are going to depend on effective time management skills. You realize already that unless you take control of your time, you will not be able to take control of your life or college workload and this is a daunting thought. Here are some simple and practical tips to help you gain control of your time and life.

To optimize your efforts focus on the results you want and not just on how busy you are. This is a serious waste of your time; therefore, you must re-direct and re-focus your thoughts in order to truly take control of your workload. Recognize that you will feel overwhelmed and that this is normal. Now re-direct your attention to the tasks in your workload that matter most rather than continue to worry about how busy you are.

You need to be able to take control of your time by eliminating the areas that are wasting your time and energy. The best way to do this is to set short-term goals in order to accomplish the bigger, long term objectives. You would do this by scheduling your activities in order to take control of your workload and personal life.

Overcome procrastination from the outset. Procrastination can become a way of life and will only stymie and frustrate you. Learn to start projects promptly , set objectives and keep a check-off list as you accomplish each task. This will help prevent completing tasks at the last minute or constantly asking for extensions.

Put a value on the tasks in your workload and prioritize them. As you prioritize, make a schedule with the most pressing task to be completed at the top and so forth down the list. The most important thing about prioritizing is that you won’t get caught short, won’t find yourself in a frenzy as a deadline approaches and will not find yourself in the midst of a ‘things to do’ conflict.

You will know when you are managing time effectively because your stomach and head will tell you. You will feel comfortable and proud of yourself and will see your results. Even though there probably will always be room for improvement, be proud of small accomplishments and reward yourself. One thing that I learned from bicycle racing (actually, I am not much of a bicycle racer but I do triathlons – cycling needs work) is the power of momentum. In bicycle racing the way to do better and use less energy is to pedal very, very powerfully and hard to start with, give it 120% and once you are up to speed, you can simply maintain a good even cadence.

When I drive a car, I notice the same thing. Momentum counts. It takes little gas to keep a car at 60 MPH but lots to get up to that speed. I am not sure if getting up to speed fast in a car uses more gas overall than slow acceleration.

This momentum not only works for vehicles, it works for accomplishing things – for projects and tasks. So what I do is pour on the energy up front and see huge results with less effort later. Some techniques I use to do this include:

1 – I ask an friend to help me get started. Often just having someone else help gets things moving.

2 – Use high energy times to start tough things. High energy can help break inertia.

3 – Set an environment that you will not be disturbed. It is all about focus. Clear your desk. Close your door. Turn off your email and busy out your phone.

4 – Have clear goals and objectives. The clearer you know what you want to accomplish, the more likely you are to accomplish it.

5 – Use a timer and set time limits. By setting a time limit like 15 or 20 minutes to work diligently on a project then give myself permission to quit, I often develop momentum.

6 – Be prepared. It is easier to develop and maintain momentum. It is all in the preparation.

7 – Finally, just do it. Dig in hard. Push hard. I know that an initial push will help me finish strong so I do it.

Using these techniques for gaining momentum can help you move any project forward faster and more easily.

We all want to control our time. My suggestion as a good way to start this is to figure out what things you do that waste time. I have spent a bit of time doing this exercise and for me my time wasters include:

Just keeping busy. We have all seen people who run at frantic paces but accomplish nothing. Activity is not productivity. The action needs to be productive and needs to be on the right task.

Jobs not suited to you. Sometimes, you will spend a lot of time on a job that is not suited to you. This is a time to delegate these tasks to someone who will be able to complete the task easier, faster, and better than you can.

Not planning often slows things down and creates inefficiency. Often a few minutes spent planning and organizing pays huge returns in getting the job done more quickly.

Redoing work. If you are spending time doing things over, you might need to consider the DRIFT tip: Do It Right The First Time.

Post it Notes. These are great for sticking to your front door to remind you to pick up milk on your way home from work, however they are not great if you create one every time you think of something that you need to do. You don’t want to waste your time looking through post it notes, you want to be organized and stick to only one To Do list.

Computer games and TV can kill hours of unproductive time. Imagine what you could have accomplished in the hours you have spent in from of a screen. Screens often waste time.
